A 2015 State of File Collaboration Security report, conducted by Enterprise Management Associates (EMA) surveyed more than 150 respondents from mid-tier and large North American enterprises found that organizations are concerned about file data leakage risks, and 75 percent expressed very high to high concern. However, 84 percent had moderate to no confidence in their security controls and auditing capacity to secure confidential files. More so, over 80 percent experienced file data leakage incidents in their organization, and half expressed frequent incidents.
Pasona N A, Inc., a leader in recruiting, temporary staffing and outsourcing services, has selected FinalCode to secure files being accessed internally and by customers and job candidates. FinalCode offers a file-based information rights management (IRM) solution that is easy to use, rapid to deploy, and scalable as needed.
“As Director of Professional Services, it is my responsibility to not only ensure our systems are appropriate and available, but also that they are secure. I wanted to see if I could enhance security capabilities for file collaboration which represents a good part of our business. But I wanted to achieve this in a way that would be cost-effective and also have broad application,” says Sayaka Doi, Director of Professional Services, Pasona N A, Inc. “We not only exchange files via email, but also through file collaboration platforms such as Dropbox, so we were also considering the security of files shared in that way. After presenting the options and value to our business, our president gave the final approval to choose FinalCode.”
Pasona N A, Inc. provides professional human resource services such as temporary staffing and professional recruiting services as well as accounting outsourcing services to medium and large enterprises. Part of a global organization, the company has hundreds of customers, thousands of temporary employees and job applicants and more than 7,900 employees worldwide. Pasona’s business, by nature, is data and collaboration intensive, with thousands of files containing sensitive and regulated data being managed through its operations. This is their motivation for enhancing security capabilities, in order to protect the files from unauthorized access.
FinalCode delivers a file security platform that allows any business to persistently protect sensitive files wherever they go inside and outside of the organization. Available as a SaaS or virtual appliance, FinalCode makes securing file collaboration easy and cost-effective and in a way that works with popular applications, platforms and devices while preserving user experience and workflow. The solution applies strong encryption and granular usage control on demand or by corporate policy with the ability to remotely delete files. The company’s patented CryptoEase technology streamlines onboarding, encryption and administration, making deployment rapid and scalable. Headquartered in San Jose, California, FinalCode offers its solutions through its global network of authorized partners.
“Data protection is essential for our company and our customers. Since our business relies on efficient sharing of information, we recognized the potential risk of exposure to sensitive data and shared files. Using FinalCode, we have confidence in our ability to better manage that risk in a cost-effective way,” says Kenji Furushiro, president & COO of Pasona N A. “FinalCode delivered on our adoption and management expectations. The level of file security it provides allows us to alleviate the real data protection concerns of our shareholders, customers and prospects.”
Pasona N A determined that FinalCode would be the most appropriate solution, offering greater flexibility for implementation and use, with broader and more effective defenses than competing solutions. Key considerations in the selection process were usability, low implementation and administration effort, and the means to have file security easily extended to users, such as customers and job candidates, outside of the Pasona N A organization.
Pasona N A is extremely pleased with how simple the FinalCode platform was to deploy and expand to use. Since the company’s IT operations are mainly outsourced, Pasona N A wanted day-to-day administration of the platform to be minimal. They deployed the system and communicated to internal and external users, and found it extremely easy to administer with strong user acceptance. Pasona N A only purchases licenses for employees that use FinalCode, with no charge for external customers and job candidates. As a result, Pasona N A advanced its data security controls and can track all of the business files being shared.
“Except for anti-malware, it is not often that you can implement a product and get immediate identification and prevention of an issue,” says Furushiro. “FinalCode not only makes it easy for our users to protect files, but the file controls and automated response are so extensive within the system that the avoidance of the potential security incident validated our purchase and planned expansion.”
